File maintenance programs are used to Add, Edit, Delete and Deactivate the major data items used throughout the Keystone system. These programs have many common features, some more obvious than others.
Using the Program
Upon starting a file maintenance program the focus will be in the Main ID box. At this point your options are: Select an item by:
- Click the dropdown arrow and scroll through the list.
- Type alt-Down Arrow and scroll through the list.
- Type all or part of an item code until you see the item you want and hit TAB
Search for an item by:
- Press F4. A search box will pop up. Type all or part of the item's description you are looking for.
- Typing in part of a name (that doesn't match an ID) and hitting tab. The search box will appear with your text
Add an item by:
- Typing in a non existent code and click the + button or type the INSERT key.
Function Keys
- F2: Save
- F3: Delete. (NOTE: Deleting items is only possible when there is no data tied to that item. Once an item has any associated activity the only option is to Deactivate it.
- F4: Search.
- F5: Rename. (This lets you change the main code for the item. If the code exists you will be given the option to merge the existing item into the new item. NOTE: This operation cannot be reversed!
- F12: Print. Print the current item. This will either be essentially a screen shot or in some cases a customized form.
Special Keys
- PGUP/PGDN: The Page Up and Page Down keys Save changes on the current item and move you to the Prior or Next item leaving you in the same field. This is great when you want to change
- Alt X: Closes the program.
Options
- Lookup Inactive ______: This changes the dropdown list and search to include inactive items. This is useful when trying to reactivate an item or research an inactive item.
